The Department of Healthcare and Family Services, Division of Medical Programs, Bureau of All Kids is seeking to hire an organized, detail-oriented, fast-paced individual to serve as Staff Assistant. This position will serve as the administrative assistant to the Bureau Chief of All Kids performing complex administrative tasks to assist staff members with planning, developing, coordinating, and executing daily office functions. Additionally, the position will respond to special inquiries and correspondence from staff, public and private organizations.
The ideal candidate will have a strong knowledge of office management practices, procedures, and programs with the ability to follow written and oral instructions.

Job Responsibilities
- Serves as staff assistant to the Bureau Chief of All Kids
- Conducts and coordinates special studies and investigations regarding All Kids Programs
- Serves as liaison with other Agency Bureaus and Sections
- Analyzes, disseminates, tracks, and follows up on controlled correspondence, policy notices and verbal requests pertaining to policy/program issues from the public and/or other Department Bureaus/Sections
- Drafts standardized reports and compiles data, enters data into spreadsheets and distributes reports
- Conducts provider enrollment and scheduling functions
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above
Minimum Qualifications
- Requires knowledge, skill and mental development equivalent to completion of four (4) years of college, preferably with courses in public or business administration
- Requires one (1) year of professional experience in a public or private organization, or completion of an agency approved professional management training program
Preferred Qualifications (In Order of Significance)
- One (1) year of experience working with the principles of office management
- One (1) year of professional experience functioning as an assistant for a public or private organization
- One (1) year of experience composing, proofing and editing correspondence and reports
- One (1) year of professional experience utilizing office methods and procedures to ensure efficiency in the workplace
- One (1) year of experience utilizing automated office equipment, including computer programs such as Microsoft, Adobe Pro, Integrated Eligibility System, Contract Vendor Time Sheet and Cost and Assignment Tracking System
- One (1) year of experience with programs, rules and regulations for a public or private organization
